Deciding where to move your data can be a big decision. Private cloud will be hosted on your behalf in a data centre we control or onsite. Public cloud services you use that are hosted along with side other companies data. Both are equally as secure and as reliable as each other, but you may have special reasons to prefer one over the other.

But what is the cloud?

The cloud is a metaphor for the Internet. It comes from the cloud being used in network diagrams – geeky, we know. The cloud today is a place that you store your data. That data could be your email, your website, or files to run your business. There are two kinds of cloud, detailed below.

Private Cloud

If you have a server, you could call this your private cloud, but the chances are you don’t have access to it from anywhere other than the office. The private cloud is commonly referring to only servers you have access to. These could be in a data centre or your office, accessed via VPN.

Public Cloud

If you’re using Microsoft365 or Google Workspace, Gmail or some other hosted email service, you’re already using the public cloud. Your data, along with hundreds of millions of other users, are sharing the same server. Dropbox uses Amazon servers. All the data you have on Facebook uses their servers. There are different types of products and services offered in the public cloud.

What should we migrate to the cloud?

The ability to add or remove users quickly is one benefit of the cloud, as is the need to forget about storage limits (within reason) and uptime. All of these things are taken care of for you. Of course, many services have different tiers of access, meaning you only get some features at certain price points.

The main reasons for moving the cloud are cost and convenience, but the cost savings can often be short-lived. We’ve seen companies start with a product paying USD100 per month, only to end up paying several thousand dollars a month without realising all the add-ons they’ve been paying for to give them a full set of functionality. Selecting the right products is part of having a good IT Strategy. The main reason for moving to the cloud should be security, surety and convenience. Cloud-based products such as Xero should improve the way you do business and speed up operations.
